Our client was attending two congresses at the same time – ESWI in Valencia and ID Week in Atlanta. With both teams operating in the same therapeutic areas, it was critical to bring them together ahead of congress to align on priorities, messaging, and scientific focus.
The challenge was to create a seamless pre-congress meeting experience that connected both locations in real time, enabled speakers in each country to present to both audiences, and kept engagement high across a hybrid format – with complete confidence in technology, timings, and presenter readiness.

We designed and delivered two hybrid satellite meetings, connecting Valencia and Atlanta with reliable, broadcast-quality hybrid delivery. Speakers in each location were able to present seamlessly to both teams, ensuring one unified experience across time zones and venues.
To guarantee a smooth event, we ran structured technical rehearsals and presenter rehearsals, ensuring all contributors were confident with the format, transitions, timings, and Q&A flow. We also built in interactive elements to encourage participation and keep both in-room and remote audiences engaged.
Full pre-event and onsite PowerPoint support ensured presentations were polished, consistent, and delivered without disruption.
